This article explains how to import contracts into Federal Compass using the bulk import tool. You’ll learn where to access the import feature, how to use the template, and best practices to ensure your contracts are successfully uploaded.
Navigate to the Import Tool
- From the platform page click on settings, top-right corner.
- Click on platform settings, on the left-hand side select content import.
- Once on the content import page, you’ll see two options:
- Start New Import
- Download Import Template
Download and Complete the Import Template
Before importing, you must first download the template to ensure your data matches the system’s structure.
- Click Download Import Template
- The first row will show the expected column headers (e.g., title, solicitation number, procurement stage, Pwin, etc.)
- Fill in your contract data according to these headers
- Make sure to save your file as a CSV
The template includes both opportunity fields and pipeline fields, so your import can also feed directly into your pipeline setup.
Start the Import Process
Once your CSV file is ready:
- Go back to the content import page
- Click start new import
- Upload your CSV
- Follow the prompts to map fields and confirm your import type
Important Notes & Requirements
- The import supports up to 500 rows and 150 columns per file
- To update existing records, include the Federal Compass Opportunity ID in your file
- Opportunities with a matching solicitation number will automatically sync to Federal Compass data
- Opportunities with no match will create a new user-defined record
Verify Imported Opportunities
- Check Pipeline:
- Navigate to the "Pipeline" section or the displayed import number.
- Verify a sample of opportunities for data accuracy.
- Adjust any errors by reimporting or editing directly in Federal Compass.
Best Practices for Successful Imports
- Start Small: Begin with a small data batch.
- Backup Data: Retain a copy of your original file.
- Understand Duplications: Know how duplicates are managed—whether they update existing records or create new ones.
Common Mistakes to Avoid
- Skipping the template: Using your own format may result in failed uploads. Always use the provided template.
- Wrong file type: Make sure your file is saved as a CSV, not PDF or other formats.
- Missing ID for updates: If you’re updating records, make sure to include the correct Federal Compass opportunity ID.
- Opportunities matched by solicitation number will sync to Federal Compass opportunities
- Any unmatched opportunities will create new user-defined records
- Too many rows: Files with more than 500 rows will be rejected.
Double check your column headers before uploading, even one mismatch can prevent the import from going through.
The contract import feature makes it easy to bulk upload or update opportunities in Federal Compass. Just follow the template, stay within the file limits, and your data will flow directly into your pipeline and records.
