Managing Your Subscription and Billing: A Complete Guide

In this section, you'll find everything you need to know about accessing your billing information, making payments, and important terms.

Accessing Subscription and Billing Settings

To manage your subscription and billing, you’ll need to navigate to the correct section in your dashboard. Follow these steps:

  1. Login in to your dashboard 
  2. Go to Settings in the dashboard
  3. Click on Platform Settings
  4. On the left sidebar, scroll down to the bottom and select Subscription & Billing

This page is only accessible to admins. If you do not have admin access, you will not be able to view or make changes to the subscription and billing settings.

Subscription & Billing Overview

Once you access the Subscription & Billing page, you’ll see an overview of your account’s billing details. Here’s what each section includes:

1. Upcoming Invoices

At the top, you’ll find your Upcoming Invoice, which displays:

  • The total amount due for the next billing cycle.
  • The renewal date, showing when the amount will be charged.

This section also notes that the amount includes any scheduled price increases and estimated sales tax, where applicable, and may change if there are updates to your subscription.

You’ll also see an option to click View Contracts/Invoices to access past invoices.

  • Clicking on View Contracts/Invoices will open a list of all invoices from previous years. Each invoice includes:
    • Download Invoice (PDF format)
    • Invoice Number
    • Invoice Date
    • Amount

If you notice a missing year in your invoice history, you can reach out to the support team for assistance. (Support contact details will be listed at the bottom of this guide.)

2. Current Subscription

Below the invoice section, you’ll find Current Subscription details. This section confirms:

  • Your subscription is set to auto-renew (check your contract for renewal terms).
  • On the left side, you’ll see the details of your subscription. 
  • On the right side, you’ll see the total annual cost for each product/feature. The total amount due for renewals will also be displayed at the bottom of that chart.

3. Additional Features & Products (Self Service Upgrade)

Below your Current Subscription, you’ll find the Additional Features & Products section. This is where you can explore and purchase add-ons or upgrades directly from your dashboard.

How It Works

  • On the left side, you’ll see a list of available features
  • On the right side, you’ll see options to either try or purchase the feature.
  • When you complete a self-service upgrade, you will receive an automatic email confirmation of the change. 
  • For questions about self-service upgrades, contact information is provided below.

Trying or Purchasing a Feature

  • Try: Click Try to start a 14-day free trial. After 14 days, the feature will automatically be added to your account and billed unless canceled before the trial ends. 
  • Important Notes on Subscription Upgrades:
    • If you do not cancel a trial before the 14-day period ends, the features will automatically be included in subscription, and you will be charged.
      • Any subscription upgrade you make can be canceled within 30 days of the change.
      • After 30 days, the upgrade will remain active for the duration of your subscription term.
        • It will be added to the upcoming auto renewal subscription plan.
  • Purchase: Click Purchase to add the feature to your subscription immediately.

Additionally, any feature you already have in your subscription will be labeled as “included/purchased” instead of giving the purchase or trial option.

4. Payment Information

We accept ACH/wire transfers and credit card payments (note: credit card payments include a 3% processing fee, some states are excluded from this). An active payment method is required on your account at all times. Once a payment method is added, you can edit it if needed, but there must always be a valid payment method on file.

We partner with a PCI-compliant third-party payment processor for secure transactions. We do not collect or store your credit card or banking information directly.

5. Billing & Subscription Terms

For details on billing and subscription terms, please refer to your contract.

Payment Terms

  • Payment is due upon receipt unless otherwise specified in your agreement.

Subscription Renewals

  • The agreement automatically renews for one-year terms unless canceled in writing before the renewal date.
  • Admins will receive reminder emails leading up to the renewal date.

Subscription Cancellations 

  • Cancellations must be submitted in writing before the renewal date (refer to your contract for specific requirements).
  • Late Cancellations: if the cancellation requirements are not met, customers may be eligible for late cancellation.
    • This requires signing a cancellation agreement and paying 50% of the current term’s amount.

Delinquent Payments

  • If payment is not received on time, the provider reserves the right to suspend platform access after notifying the customer.
  • Suspension does not release the customer from payment obligations. 
  • If payment remains outstanding, the provider may require immediate full payment of the remaining balance for the current term. 

Payment Method Requirement

  • Customers must maintain a valid credit card or ACH payment method on file at all times.  
  • If a valid payment method is not maintained, the provider may suspend platform access.

Sales Tax

  • Applicable state and local sales tax may be added to your invoice. 

Late Fees

  • A 10% late fee may be applied to invoices more than 30 days past due.
